Using Call Forwarding (Divert)

You may automatically redirect your calls to another extension or an outside number.

When using the menu:

  • When the phone is idle, arrow to and select “Forward on?” or press *1
  • Press 1 for all calls, 2 for external or 3 for internal calls.
  • Enter the extension or external number you wish to forward to.
  • Select “Save?”
  • To cancel forwarding from the idle phone, arrow to and select “Forward off?” or press #1

When using a programmed key:

  • Press the “Forward” key.
  • Press 1 for all calls, 2 for external or 3 for internal calls.
  • Enter the extension or external number you wish to forward to.
  • Select “Save?”
  • To cancel forwarding, press the lit “Forward” key.

Requesting a Callback

When you encounter a busy signal or a line that is not answered, you can request a callback. Be sure to listen for the busy signal or non-answered line first.

When using the Menu:

  • Use the arrow keys to scroll to and select “callback?”
  • Hang Up To view or cancel a callback
  • Arrow to and select “view callbacks?”. This will then show your callbacks.
  • To cancel callback, arrow to the desired callback and select “Delete?” Callbacks have a distinct ring Callback requests may only be left at internal stations

When using a programmed key:

  • Press the “callback” key
  • Hang up
  • To cancel a callback
  • Press the callback key To cancel all callbacks dial #0

Conference Call

The system can host up to 5 calls on a conference. This will also depend on how many external line you have.

Creating a conference call:

  • Dial the first party and when they answer, arrow through and select “Start conference?”
  • Dial the second party and when they answer, select “Conference?”
  • Now party number 1, party number 2 and yourself will now be on a 3 way conference call.
  • To add another party, select “Add party?”
  • Dial the third party and when they answer, select “Conference?”

Using Do Not Disturb

You may temporarily stop your phone from ringing.

When using the menu:

  • Arrow to and select “Do not disturb on?” or press *97 To deactivate
  • Arrow to and select “Do not disturb off? or press *97

When using a programmed key:

  • Press the “DND” key. To deactivate
  • Press the “DND” key.

Using Loudspeaker

You may use the speaker on your phone, instead of the handset, to conduct a call.

When using a programmed key:

  • Without picking up the handset press the “Speaker” key.
  • Dial the desired party.
  • Once the party answers, you may pick up the handset or continue the call in speaker mode.
  • To deactivate the speaker, pick up the handset.

Using speaker in mid conversation:

  • When on a call, press and hold the “Speaker” key.
  • With the “Speaker” key held down replace that handset
  • Once the handset is down, you can release the “Speaker” key.

Please note – OpPoint entry/ economy/ basic handsets do not support two way loudspeaker conversations – you must pick up the handset.

Placing a Caller on Hold

You may place a caller on hold and replace the handset without disconnecting the call.
When using the menu:

  • Use the arrows to scroll to and select “Enquiry?”
  • To retrieve a held call, scroll to and select “Return to held call”
  • Using Hold does not allow you to place another call on the same line.
  • Always ask permission before placing a caller on hold.

When using a programmed key:

  • Press the “Hold” key. This will then hold the call on the incoming line.
  • To retrieve a held call, press the flashing incoming line key, that you held the call on.

Redialling a Recent Number

The last three external telephone numbers that you dialled are stored by the system. You may retrieve one to call.

When using a programmed key:

  • Press the “Redial” key. The most recent number will be displayed
  • Press the “Redial” key again to see the second number and again to see the third.
  • When the desired number is visible, wait and within two seconds the number will be dialled.

Programming a Repdial Key

You may program a repdial key to quickly dial frequently used numbers or access features.
When using the menu:

  • Press the “Program/service?” key.
  • Arrow to and select “Prog. Feature key?” or press *91
  • Press the programmable key you would like to program.
  • Select “Change key?”
  • Select “Repdial key?”
  • Enter the number to be programmed.
  • Arrow to and select “Save entry?”
  • To program another key, press another programmable key.

When using a programmed key:

  • To place a call using a repdial key, simply press the key.

Speed Dial Numbers

Your system administrator may program frequently used external numbers for all users to access. You may also program 10 external numbers on your own phone. System speed numbers are 000-999; individual speed numbers are *0-*9.

To program a station speed number…

When using the menu:

  • Press the “Program/service” button.
  • Arrow through and select “Change speed dial?” or press *92
  • Enter the code (*0 to *9) you want to assign to the number.
  • Arrow to and select “Change entry?”
  • Enter the number. Don’t forget the outside line access number.
  • Select “Save?”
  • To program another station speed dial, enter another code (*0 to *9).

To dial a station speed number:

  • Press the “Program/Service” button.
  • Arrow to and select “Use speed dialling?” or press *7
  • Enter the desired speed dial code.

When using a programmed key:

  • Press the “Speed dial” key.
  • Enter the desired speed dial code (000-999 for system speed dials)(*0-*9 for station speed dials).

Transferring

You can transfer calls to internal or external parties. Please not when transferring to an external, this will use one of your lines.
When using the menu:

  • When on a call, select “Enquiry?” to place the caller on hold.
  • Dial the number of the second party you wish to transfer to.
  • Inform the second party of the transfer and hang up.
  • If the second party doesn’t want to receive the call, wait for them to hang up and you will be returned to the caller.
  • If you are unable to reach or the second party or the call goes to voicemail, select “Return to held call” at any time.

Using Park (System Hold)

You may park a call in one of ten slots in the system. The call can then be picked up by another extension.
When using the menu:

  • When on a call.
  • Press the “Program/Service” key.
  • Arrow to and select “Park a call?” or press *56
  • Dial the desired slot number, 0 through 9. Make a note of it
  • If a negative tone sounds, select another slot.

To retrieve the call

  • Press the “Program/Service” key.
  • Arrow to and select “Retrieve call?” or press #56
  • Enter the slot number you used to Park the call (0-9)

When using a programmed key:

  • Press the “Park” key.
  • Dial the number of the desired slot, 0 through 9. Make note of it.
  • If a negative tone sounds, select another slot.

To retrieve the call,

  • Press the “Park” key.
  • Enter the slot number you used to Park the call (0-9).

If the call is not retrieved, it will recall the user that placed the call on Park.

Voicemail

VoicemailAccessing your mailbox

  • Dial (555) or (55)
  • The mailbox will respond and ask you to enter your password, as default this will be set to (123456).
  • On entering the correct password, the mailbox informs you of its current status.

Accessing your mailbox externally

  • Call your Direct Dial Number.
  • When you hear your greeting, press (*) followed by your password.
  • The system will ask for your mailbox number, enter your extension number or group number.

Navigating through your mailbox

  • 1 = Scroll back an option.
  • 2 = Repeat message.
  • 3 = Scroll forward an option.
  • 8 = Change from day greeting to night greeting.
  • 0 = Delete message, change settings and start recording.

Changing your greeting

  • Gain access to your mailbox by following the above.
  • Press the (3) key until you hear the system indicating ‘first greeting’ or ‘day greeting’.
  • The system will repeat your current outgoing message. As default this will say ‘You’ve reached the mailbox of extension 11’.
  • Press the (0) key to start your recording.
  • When you finish your recording, Press (#).
  • To check your greeting dial your Ext from another Ext this allows you to hear what your mailbox sounds like to other callers.

Changing your password

  • Gain access to your mailbox by following the above.
  • Scroll through the mailbox using the (3) key until you hear the system indicating ‘password for mailbox queries 123456’.
  • Press the (0) key to change your password.
  • Enter your new 6 digit code.

Memorise your password as this is the only code that will allow you access to your mailbox!
